Getting Started
Invoices
Open MyInvoices and click Create Invoice. Fill in the client details, item description, quantity, unit price and VAT where needed. The totals calculate automatically. Then save the invoice, download the PDF, email it or share it through WhatsApp if your plan allows those actions.
It depends on your active plan. Some plans may have a monthly document limit and some may have no monthly cap. If you are logged in, the Help Assistant can check your current account limit. The limit is usually treated as a document usage limit, so invoices, quotes, receipts and other saved document types can count toward it.
Yes. MyInvoices creates automatic serial numbers for documents to help avoid duplicates and keep your records organised. Different document types use their own prefixes, such as INV for invoices, QUO for quotations and REC for receipts.
The invoice number field is intentionally locked in the editor because MyInvoices uses automatic numbering to prevent duplicate or broken sequences. At the moment, users should not manually type over the invoice number. If custom prefixes such as your company acronym are added later, it should be done as a controlled setting, not by free typing on every invoice.
Not as a normal manual edit inside the invoice editor. The current design protects document numbers so users do not accidentally create duplicates. A company acronym or custom prefix can be considered as a future controlled setting, but the live editor should keep invoice numbers automatic and protected.
It is locked on purpose. Invoice numbers are important for records and tax paperwork. Locking the number helps keep the sequence clean, prevents duplicates and protects old saved documents from accidental numbering mistakes.
MyInvoices changes the document title, labels and number prefix to match the selected document type. For example, an invoice can use INV, a quote can use QUO, a receipt can use REC, a credit note can use CRE and a debit note can use DEB.
Storage & Editing
Yes, if your plan includes saving, viewing and editing saved documents. Open the Invoices or Past Invoices area, find the document, then open it again to edit details, update items, change totals or download a fresh PDF.
Open the portal and go to the Invoices area, or use My Invoices (Past) from the editor menu. From there you can search, filter, prepare PDFs, download documents and open document actions depending on your plan.
Yes. The invoices dashboard includes filters such as month, document type, date range and client or document search. This helps you find saved invoices, quotes, receipts and related documents faster.
Deleting saved documents may be available through document actions or bulk actions depending on your plan and account permissions. Be careful with deletion because business documents may be needed for records, tax or client disputes.
PDF Downloads
Yes. MyInvoices can create clean PDF documents that you can download, print, email or send to clients. PDF download availability can depend on your active plan. If the PDF button is blocked, check Billing to see whether your plan includes PDF download.
Prepare PDF means MyInvoices is generating or preparing the PDF version of a saved document. Once ready, it can be downloaded or sent, depending on your plan and the document state.
Browser Print / Preview can help for quick printing, but Download PDF is usually cleaner and better for sharing with clients because it is designed to export the document professionally.
Quotes & Receipts
Yes. MyInvoices supports invoices, quotations and receipts. Depending on your plan, you may also see extra document types such as debit notes, credit notes, letterheads and completion certificates.
Yes, the system supports receipt workflows linked to invoices where available. A receipt normally uses its own receipt number and can reference the original invoice details.
A credit note is commonly used when you need to reduce or reverse an amount from an invoice. A debit note is commonly used when you need to add or correct an amount. In MyInvoices, these are available only if your plan includes those document types.
A credit note is used when you need to reduce, reverse or correct an invoice amount in favour of the client. For example, you may use it for an overcharge, returned goods, a discount after invoicing, or cancelling part of an invoice. In MyInvoices, credit notes are available only when your plan includes that document type.
A debit note is used when you need to increase or correct an invoice amount upward. For example, you may use it for an undercharge, extra work, additional items, or a price correction. In MyInvoices, debit notes are available only when your plan includes that document type.
A credit note reduces, reverses or corrects an invoice amount downward. A debit note adds or corrects an invoice amount upward. Both are correction documents and their availability depends on your plan.
Payments
Yes. In the invoices dashboard, you can mark invoices as paid or unpaid. This helps you track which invoices still need payment and which ones have already been settled.
Yes. The dashboard uses payment status so you can see whether a document is paid or unpaid. You can also use filters and reports depending on your active plan.
Payment methods depend on your country/account location and what the admin has enabled for that country. Open Billing to see the exact active options, such as manual/EFT, PayPal, PayFast, Mukuru or another configured method.
A payment method may fail if it is not enabled for your country, checkout is interrupted, the gateway rejects the payment, the proof/reference is missing, or the payment is still pending approval. If money left your account, keep the reference and contact Support.
If bank transfer/EFT is enabled for your country, the banking details or payment instructions should show in Billing under the available payment method. If the details do not show, ask Support to confirm the correct method for your location before paying.
Manual payments can stay pending until proof of payment or the payment reference is checked. Make sure you submitted the required proof/reference. If it has been long enough and your plan is still not active, open Support with the reference.
Mukuru can be shown only where it has been enabled as a payment method for your country/account location. Open Billing to see whether it appears for you. If it is not shown, use one of the available methods or contact Support.
PayPal or PayFast will appear only if enabled for your country/account location. If a gateway fails, retry once, check that the checkout completed, then contact Support with any reference or screenshot if the plan did not activate.
Send the proof or reference requested by the payment method shown in Billing. It should clearly show the amount, date, reference and payer details where possible. This helps admin approve the payment faster.
Plans
Some tools are advanced features, so they are available only on selected plans. Examples can include PDF downloads, saved document editing, team access, client view, background uploads, two-page documents, automatic backups and advanced reports. Open Billing or Pricing to see which plan includes the feature you need.
If your subscription expires, some premium actions may become limited until the subscription is renewed. You can open Billing from your portal to renew or choose another available plan.
Open Billing or Pricing in the portal. The plan controls available document types, downloads, saving, editing, storage, team access, support level, layout tools and monthly document limits.
Yes. If your plan has a monthly document limit and you reach it, upgrade to a plan with a higher limit or no visible monthly cap. If your account has a bonus allowance, that can also increase your remaining documents for the month.
Team access depends on your plan. If your plan includes team accounts, you can invite users to work under the same account. The number of team members is controlled by the team account limit on your plan.
Yes. Open Billing/Pricing in the portal and choose the plan that fits your document limit, document types and feature needs. Upgrading is useful when you need more documents, PDF downloads, team access, uploaded backgrounds, reports or extra document types.
You can choose a lower plan if it is available, but first check that it still includes the tools you rely on, such as saved document editing, PDF downloads, team access, reports or special document types.
Some tools are controlled by plan permissions. If you are logged in, the assistant can often tell whether your current plan appears to include the feature. If it is not included, open Billing/Pricing and choose a plan that supports it.
Mobile & App Shortcut
Yes. MyInvoices works on mobile browsers. On supported Android devices, you can also add it to your home screen so it behaves more like an app shortcut.
Open MyInvoices in Chrome or a supported Android browser, open the browser menu and choose Add to Home screen or Install App. If the website install prompt is available, the editor menu can also show a shortcut/install option.
Account
Check that your email and password are correct. If you forgot the password, use the reset password option on the login page. If the account was created for you using a setup link, open the exact setup link sent to you.
The editor is protected. If you open the editor while logged out, MyInvoices sends you to the login page first. After logging in, you can return to the editor or portal depending on the link you opened.
Yes. Open Profile or Settings to update company name, phone, address, registration number, tax number, banking details and logo where your account allows it. Some logo changes may be restricted to protect consistency.
Logo changes are available from the editor/profile where permitted. Some accounts may have logo-change rules, such as team users not being allowed to change the company logo, or logo changes being locked for a period after a recent change.
Tax & Currency
Yes. The editor supports VAT fields, tax totals and tax authority based document titles. Your tax authority and country profile help the editor choose suitable defaults such as currency and invoice title.
Yes. MyInvoices supports multiple currencies and can choose a default based on your tax authority profile, such as SARS, ZIMRA, ZRA, BURS and others. You can also change currency in the editor where available.
Tax report access depends on your plan. If your plan includes tax reports, you can use the Tax Report option from the portal or editor menu to view relevant totals and reporting information.
Design & Layout
Layout movement depends on your plan. Where available, you can move or resize selected document elements, adjust the logo size, choose templates and save layout defaults.
Yes, if your plan includes table styles or background templates. Some plans may also allow custom background uploads. Open Templates or design tools in the editor to see available options.
Some header controls are available from the editor menu. Depending on your plan, you may be able to show or hide the logo, company info and document title.
Removing MyInvoices footer branding depends on your plan. If your plan includes that feature, the badge can be hidden. Otherwise, it remains visible.
Documents
Two-page documents depend on your plan. If your plan includes two-page documents, the editor can support longer invoices with a second page.
Yes. The editor has optional client rows that can be used for things like contact person or phone number, depending on the document type and layout.
Yes, if your plan includes those document types. Letterheads and completion certificates use a different layout and may hide normal invoice table or totals sections.
A completion certificate confirms that work, a service or a project has been completed. It can be used for handover, client sign-off, proof of completion or service records. In MyInvoices, completion certificates are available only on plans that include that document type.
Use a completion certificate when you need to formally confirm that a job, repair, service, delivery or project has been completed. It is different from an invoice because it confirms completion, while an invoice requests payment.
Sharing
Email sending depends on your plan. If available, the Email action lets you send document details or PDFs to clients directly from the editor workflow.
Yes, if WhatsApp sharing is enabled on your plan. The WhatsApp action helps you share the document with a client more quickly.
Support
Open your MyInvoices portal and go to Support to create or reply to a support ticket. You can mark tickets as solved, delete them from your portal view and leave feedback after resolution.
Try asking with one or two important words such as invoice number, PDF download, monthly limit, plan, login, quote, receipt or support. For account-specific problems, open a support ticket so the team can check your account safely.
Security
MyInvoices is designed as a protected account system. The homepage and FAQ are public, but your editor, saved documents, profile and support portal require login. Always keep your login details private.
Troubleshooting
If a feature is visible but blocked, it may require a selected plan, an active subscription, or a completed profile. Open Billing to check your plan, or Profile/Settings to complete your business details.
Try refreshing the page, checking your internet connection and confirming that your plan allows the action. If the button still does not work, open Support and explain what you clicked, what device/browser you used and what message appeared.
The editor scales the document and controls for phones. Some buttons may move into the side menu on mobile so the document remains usable on smaller screens.
Reset Layout to Default returns the current document layout closer to the saved/default layout. Use it when elements have been moved too far or the design no longer looks right.
I understand. Start with the exact action that failed: PDF download, saving, login, payment, plan access or document editing. Refresh once, check your internet connection, then open Support with what you clicked, what happened, your device/browser and any error message.
First check that your plan includes PDF downloads. Then refresh once, try again, and check whether your browser blocked downloads or popups. If it still fails, open Support and include your device, browser and the document you tried to download.
Editing old invoices depends on your plan and document permissions. You usually need saved document access plus edit saved documents. If you are logged in and your plan does not include editing, open Billing/Pricing to upgrade.
Team access depends on the account limit on your plan and whether the invited user was created correctly. If your plan has no team accounts available, you may need to upgrade before adding more users.
